Tapnow AI FAQ: Device Compatibility, Privacy, Integrations, and Everything Else You Need to Know

Tapnow AI FAQ: Device Compatibility, Privacy, Integrations, and Everything Else You Need to Know

Device Compatibility

Which devices support Tapnow AI?

iOS: iPhone 12 and later running iOS 17 or newer. Full Instant Actions and on-device AI features require iPhone 14 Pro or later (A16 Bionic chip or newer) for optimal performance. Older supported devices run a lighter version with more cloud processing.

iPadOS: iPad Pro (M1 or later), iPad Air (M1 or later), and iPad mini (A17 Pro). The iPad version includes all iPhone features plus a split-screen mode optimized for multitasking.

Android: Devices with Qualcomm Snapdragon 8 Gen 2 or newer, Google Tensor G3 or newer, or Samsung Exynos 2400 or newer. Requires Android 14 or later. On-device AI performance varies by chipset — Snapdragon 8 Gen 3 and Tensor G4 provide the best experience.

Wearables: Apple Watch Series 9+ and Ultra 2+ (limited feature set — quick dictation, action triggers, notification intelligence). Wear OS support is on the roadmap for late 2026.

Why doesn’t Tapnow support older devices?

On-device AI processing requires dedicated neural processing hardware (Apple Neural Engine, Qualcomm AI Engine, etc.) that older chips either lack or don’t have in sufficient capacity. Running Tapnow’s models on older hardware would result in slow performance and excessive battery drain, which contradicts the core “frictionless” experience.

Does Tapnow work on tablets?

Yes. iPad and Android tablets are supported. The iPad version takes advantage of larger screens with a sidebar interface, split-view support, and a desktop-like prep card layout. Android tablet support follows the phone interface with responsive scaling.

Is there a desktop version?

Not currently. Tapnow is designed mobile-first. A macOS/Windows companion app is on the roadmap for 2026, focused on syncing context and workflows rather than replicating the full mobile experience. Desktop users who want similar functionality should consider Raycast (macOS) or Microsoft Copilot.

Privacy and Data Security

Does Tapnow read my emails and messages?

Tapnow accesses email and message content only when you grant permission and only on your device. Here’s exactly what happens:

  1. You grant Tapnow permission to access specific apps (email, messaging, calendar, etc.)
  2. Tapnow’s on-device engine reads the content locally to generate context-aware suggestions
  3. This content is processed by on-device models — it’s never sent to Tapnow’s servers for the purpose of generating Instant Actions
  4. The content is stored in an encrypted local database for up to 7 days to maintain context continuity

You can revoke access to any app at any time in Tapnow’s privacy settings. When access is revoked, all cached data from that app is immediately deleted.

Is my data sent to the cloud?

For Tier 1 and Tier 2 operations (most common tasks): No. All processing happens on your device. Zero data transmission.

For Tier 3 operations (complex tasks requiring large models): Yes, but with protections:

  • Data is encrypted in transit (TLS 1.3) and at rest
  • Processing servers do not log or retain your data
  • Data is deleted immediately after the response is generated
  • You can opt out of Tier 3 processing entirely in settings (the app remains functional with on-device models only)

Does Tapnow sell my data?

No. Tapnow’s business model is subscription revenue, not data monetization. The privacy policy explicitly states that user data is never sold, shared with advertisers, or used for ad targeting.

Is Tapnow HIPAA compliant?

Tapnow’s on-device processing architecture is inherently aligned with HIPAA requirements since protected health information (PHI) doesn’t leave the device. However, Tapnow does not currently carry formal HIPAA certification. Healthcare organizations should consult their compliance teams before deployment.

For Tier 3 cloud processing, Tapnow offers a BAA (Business Associate Agreement) for enterprise customers upon request.

Can my employer see what I do in Tapnow?

If you’re using a personal Tapnow account, no. Your employer has no visibility into your Tapnow usage, history, or data.

If your organization has deployed Tapnow through an enterprise plan, the admin dashboard shows aggregate usage statistics (number of actions, feature adoption rates) but does not provide access to individual users’ content, conversations, or specific actions.

Where is my data stored?

On-device data is stored in your phone’s secure enclave (iOS) or encrypted application storage (Android). Cloud processing uses servers in the following regions:

  • United States (AWS us-east-1, us-west-2)
  • European Union (AWS eu-west-1) — for EU users
  • Asia Pacific (AWS ap-northeast-1) — for APAC users

Enterprise customers can request dedicated processing in specific regions.

App Integrations

Which apps does Tapnow integrate with?

Email: Gmail, Outlook, Apple Mail, Yahoo Mail, ProtonMail Messaging: iMessage, WhatsApp, Telegram, Signal, Slack, Microsoft Teams Calendar: Apple Calendar, Google Calendar, Outlook Calendar CRM (Pro only): Salesforce, HubSpot, Pipedrive, Zoho CRM Task Management: Todoist, Things 3, Apple Reminders, Asana, Trello Notes: Apple Notes, Notion, Obsidian, Evernote, Google Keep Cloud Storage: iCloud Drive, Google Drive, Dropbox, OneDrive Browser: Safari, Chrome, Firefox, Edge

How do integrations work technically?

Tapnow uses three integration methods:

  1. Accessibility APIs (iOS/Android): Reads screen content and app state without requiring explicit app integration. Works with any app but provides surface-level context.

  2. Native APIs: For supported apps, Tapnow uses official APIs (e.g., Gmail API, Salesforce API) for deeper integration — reading full email threads, updating CRM records, creating calendar events.

  3. Share Sheet / Intent: You can share content from any app to Tapnow using the standard iOS share sheet or Android intent system.

Can I request new integrations?

Yes. Tapnow maintains a public integration request board. Integrations are prioritized based on user demand. You can vote for existing requests or submit new ones through the app’s settings menu under “Integrations > Request.”

Do integrations require Pro?

Basic integrations (email, calendar, messaging via accessibility APIs) work on the free tier. Deep integrations with CRM systems, task managers, and advanced app features require Pro.

Feature-Specific Questions

How accurate is Tapnow’s email drafting?

Tapnow’s email drafts are generated based on the conversation context, your writing history, and the recipient’s communication patterns. In internal testing:

  • Tone accuracy: 89% of users accept the generated tone without modification
  • Content accuracy: 76% of drafts require only minor edits (1-2 sentences changed)
  • Factual accuracy: Tapnow only includes information from verified sources (your emails, CRM, calendar). It does not hallucinate facts.

The quality improves significantly after 2-3 weeks of use as the on-device model adapts to your writing style.

How does call summarization work?

  1. You enable call recording permission in Tapnow settings
  2. When a call begins, Tapnow activates on-device recording (with visual indicator)
  3. After the call ends, the recording is transcribed on-device
  4. The transcript is processed into a structured summary with key points, action items, and decisions
  5. The audio recording is deleted after processing (configurable — you can retain recordings if preferred)

Important: Call recording laws vary by jurisdiction. In two-party consent states/countries, all participants must be informed. Tapnow provides a configurable notification feature that can announce recording at the start of calls.

Can I use Tapnow in multiple languages?

Yes. Tapnow supports 40+ languages for:

  • Interface: 15 languages (English, Spanish, French, German, Italian, Portuguese, Japanese, Korean, Chinese Simplified/Traditional, Arabic, Hindi, Turkish, Dutch, Russian)
  • Text processing: 40+ languages for summarization, translation, and drafting
  • Voice input: 30+ languages for dictation and voice commands
  • Real-time translation: 25 language pairs for conversation translation

Tapnow can handle multilingual workflows — for example, receiving an email in French, summarizing it in English, and drafting a reply in French — all within a single Instant Action.

Does Tapnow work offline?

Partially. All Tier 1 and Tier 2 operations work completely offline:

  • Text summarization (short to medium documents)
  • Email drafting (based on cached context)
  • Translation (with downloaded language packs)
  • Entity extraction and text classification
  • Clipboard intelligence and formatting

Tier 3 operations (complex analysis, long documents, creative writing) require internet connectivity. Meeting prep cards that pull data from cloud services (CRM, email servers) also require connectivity to refresh.

How much battery does Tapnow use?

In typical usage (30-50 Instant Actions per day), Tapnow consumes approximately 3-5% of daily battery. This is significantly less than cloud-based AI apps that maintain persistent network connections.

Heavy usage (100+ actions, multiple call recordings) may increase consumption to 7-10%. Background context monitoring uses approximately 1% per day.

Troubleshooting

Instant Actions aren’t appearing

  1. Check permissions: Ensure Tapnow has accessibility access enabled (Settings > Accessibility > Tapnow)
  2. Verify app access: Check that Tapnow has permission to access the relevant app’s data
  3. Restart the overlay: Swipe away the Tapnow overlay and re-trigger it
  4. Check for updates: Ensure you’re running the latest version
  5. Reset context engine: Settings > Advanced > Reset Context Engine (preserves your data but rebuilds the context model)

Generated text is low quality

  1. Allow more learning time: Tapnow’s output quality improves significantly after 2-3 weeks of use
  2. Provide feedback: Use the thumbs up/down on generated content to train the model
  3. Check the model tier: Some operations may be using Tier 1 (faster but less capable) when Tier 2 or 3 would be better. You can force a higher tier in settings.
  4. Verify context access: If Tapnow doesn’t have access to relevant apps, its context is limited and outputs suffer

App is draining battery excessively

  1. Disable background monitoring for apps you don’t need context awareness for
  2. Reduce context refresh frequency: Settings > Performance > Context Refresh Interval (default: 5 minutes, try 15 minutes)
  3. Use on-device only mode: Disabling cloud processing eliminates network-related battery drain
  4. Check for known issues: Visit tapnow.ai/status for any current performance issues

CRM integration isn’t syncing

  1. Re-authenticate: Settings > Integrations > [CRM] > Re-authenticate
  2. Check API limits: Some CRM plans have API rate limits. Tapnow may be throttled during high-usage periods
  3. Verify field mappings: Ensure Tapnow’s field mappings match your CRM’s custom field configuration
  4. Check network: CRM sync requires internet connectivity

Account and Subscription

Can I use Tapnow on multiple devices?

Yes. Your Tapnow account supports up to 3 simultaneous devices. On-device data and models are independent per device. Cloud preferences, shortcuts, and settings sync across devices.

How do I export my data?

Settings > Account > Export Data. Tapnow exports a JSON file containing your shortcuts, settings, usage history, and any saved content. The export does not include AI model weights (those remain on your device).

How do I delete my account?

Settings > Account > Delete Account. This immediately:

  • Deletes all cloud-stored data
  • Cancels any active subscription
  • Removes your account from Tapnow’s systems

On-device data remains until you uninstall the app.
