How is Tapnow AI different from Siri, Google Assistant, or Alexa?

Traditional voice assistants are designed for general consumer tasks — setting timers, playing music, controlling smart home devices. Tapnow AI is designed specifically for professional productivity:

  • It proactively suggests actions based on your work context (calendar, email, location)
  • It creates multi-step AI workflows (Smart Shortcuts) tailored to your role
  • It generates, summarizes, and extracts information from professional content
  • It integrates with business tools like Slack, Salesforce, and Notion
  • It processes data on-device for privacy-sensitive professional use cases

How do I get started with Tapnow AI?

  1. Download the Tapnow AI app from the App Store (iOS) or Google Play Store (Android)
  2. Create an account using email or Sign in with Apple/Google
  3. Grant permissions for the context signals you want to enable (calendar, location, notifications)

Why does Tapnow AI require newer devices?

On-device AI processing requires a capable neural processing unit (NPU) — specialized hardware for running machine learning models efficiently. Older devices lack the NPU performance needed to run Tapnow’s models at acceptable speeds without excessive battery drain.

The minimum hardware requirements ensure that Instant Actions deliver sub-200ms response times — anything slower would undermine the “instant” experience.

Does Tapnow AI work on tablets?

Yes, on compatible iPads (M1 or later). The interface adapts to the larger screen, showing more context and action options simultaneously. Android tablet support is currently in beta.

Is there a desktop version?

Not currently. Tapnow AI is designed specifically for mobile contexts where on-the-go, quick-action productivity matters most. Desktop users with different needs may prefer tools like Raycast (macOS) or Microsoft Copilot. A web-based dashboard for managing Smart Shortcuts and viewing analytics is available at app.tapnow.ai.

Does Tapnow work on Apple Watch or Wear OS?

Apple Watch: A companion app provides notification-based Instant Action suggestions and voice memo capture. Full AI processing happens on the paired iPhone.

Wear OS: Not yet supported. Planned for late 2026.

Privacy and Security

Does Tapnow AI send my data to the cloud?

For most actions, no. Tapnow’s core architecture processes AI tasks on your device using local models. Specifically:

What data does Tapnow collect?

Tapnow collects minimal account data necessary for service operation:

Tapnow does not collect, store, or access:

All of this data is processed on-device and stays on your phone.

Can Tapnow AI employees read my data?

No. Tapnow’s architecture is designed so that your content data never reaches Tapnow’s servers. Even when cloud processing is used, the system is engineered with zero-knowledge encryption — Tapnow cannot decrypt or access the content of cloud-processed requests.

Is Tapnow AI HIPAA compliant?

The on-device processing mode (which handles 90%+ of actions) is inherently compatible with HIPAA requirements because protected health information (PHI) never leaves the device. What happens to my data if I delete the app?

How do integrations work technically?

  • Calendar: Read-only access to event titles, times, and attendees

You can revoke any integration at any time from Tapnow’s Settings > Integrations screen.

Can I use Tapnow without any integrations?

Yes. Tapnow’s core features — clipboard-based actions, calendar context, voice transcription, and general text generation — work without any third-party integrations. Integrations enhance the experience but aren’t required.

Are custom integrations possible?

On the Team and Enterprise plans, you can create custom integrations using:

AI Action Limits

What counts as an “AI Action”?

An AI Action is any Tapnow operation that involves model inference — generating text, extracting information, classifying content, or routing decisions. Examples:

  • Generating an email draft = 1 action
  • Summarizing a copied article = 1 action
  • Extracting text from a screenshot = 1 action
  • Transcribing a voice memo = 1 action per minute of audio
  • Running a Smart Shortcut = 1 action per AI step in the shortcut

Not counted as actions:

  • Viewing Instant Action suggestions (passive display)
  • Dismissing suggestions
  • Configuring shortcuts
  • Managing integrations

What happens when I hit the Free plan’s 15-action limit?

Tapnow stops surfacing new Instant Actions and disables Smart Shortcut execution for the remainder of the day. Your context is still being tracked (so the system stays ready), but no AI inference occurs until the counter resets at midnight local time.

You’ll see a notification suggesting an upgrade to Pro when you’re within 2 actions of the limit.

Does the Pro plan really have unlimited actions?

Yes, with a fair-use policy. There’s no hard numerical cap on Pro plan actions. The fair-use threshold is set at approximately 500 actions per day — well above what any individual user would trigger in normal use (typical usage is 30-80 actions/day). If you consistently exceed 500/day, Tapnow may reach out to discuss whether the Team plan is a better fit.

Are cloud AI requests separate from on-device actions?

Yes. Cloud requests have their own limits (50/day on Pro, 200/day on Team) separate from the unlimited on-device actions. The vast majority of actions are handled on-device — cloud requests are only used for tasks that explicitly require more computational power.

Troubleshooting

Tapnow isn’t showing Instant Action suggestions

Check these common causes:

  1. Permissions: Ensure Tapnow has access to Calendar, Location (when in use), and Notifications in your device settings
  2. Background App Refresh: Must be enabled for Tapnow to monitor context
  3. Learning period: New installations need 1-2 days of usage to build an accurate context model
  4. Action limit: Free plan users may have exhausted their daily 15-action allowance
  5. Low Power Mode: Some devices restrict background AI processing in power-saving modes

Actions seem slow or unresponsive

  • Restart the app: Close and reopen Tapnow to clear any cached state
  • Check storage: On-device models require approximately 2GB of storage. If your device is nearly full, model performance may degrade
  • Update the app: Newer versions include model optimizations that improve speed
  • Device temperature: Extended use in hot conditions can cause thermal throttling of the NPU

Smart Shortcuts aren’t executing correctly

Account and Billing

Can I use Tapnow AI on multiple devices?

Yes. Your Tapnow account can be active on up to 3 devices simultaneously (e.g., iPhone + iPad + Android phone). Your Smart Shortcuts and integration settings sync across devices. Context data remains local to each device and does not sync (by design, for privacy).

How do I cancel my subscription?

Cancel through your device’s subscription management:

  • iOS: Settings > Apple ID > Subscriptions > Tapnow AI > Cancel
  • Android: Google Play Store > Subscriptions > Tapnow AI > Cancel

Your Pro features remain active until the end of the current billing period. After cancellation, your account reverts to the Free plan. Custom Smart Shortcuts are preserved but inaccessible until you re-subscribe.

Is there a refund policy?

Tapnow offers a 7-day refund for first-time Pro subscribers. Contact support@tapnow.ai within 7 days of your first payment for a full refund. Annual plan subscribers can request a prorated refund within 30 days.
